JOB DESCRIPTION

 

TITLE: Deputy Clerk of Court - Civil/Small Claims                                                    

REPORTS TO: Clerk of Court

DEPARTMENT/DIVISION: Municipal Court

CIVIL SERVICES STATUS: Unclassified

JOB STATUS: As assigned

EXEMPT STATUS: Non-Exempt

 

CLASSIFICATION FEATURES: A Deputy Clerk of Court is responsible for completing tasks as required by the Ohio Revised Code as assigned by the Clerk of Court. This person is a direct employee of the Clerk of Court. This individual will be supervised by the Clerk of Court, the Chief Deputy or the Assistant Chief Deputy.

 

ESSENTIAL JOB FUNCTIONS:

File court documents (time stamp).

Receive and record case fees and payments.

Balance and reconcile daily cash receipts.

Respond to inquiries from legal and law enforcement community and general public.

Research automated and hard-copy files for case status information.

Enter/Edit case information in the case management system.

Generate court documents, forms and letters when necessary.

Schedule hearings for the magistrates.

Scan documents into cases.

Retrieve and print microfilmed copies of cases if necessary.

Retrieve cases for court schedules.

Keep case files and case documents in order.

Maintain the court docket for civil and small claims cases.

Cooperate with other court personnel.

Complete any other jobs assigned in relation to the Clerk’s Office.

A Deputy Clerk will not provide legal assistance.

Maintains regular and consistent attendance.

Able to perform the physical demands including but are not limited to being able to sit continuously at a computer terminal, desk or work station and have the strength and agility to walk, stand, bend, stoop, crawl, squat, kneel and reach throughout the work day.

EDUCATION, TRAINING AND EXPERIENCE:

High school diploma or GED equivalent.

Classes in computer, bookkeeping, and/or people skills are desirable.

QUALIFICATIONS:

             Knowledge of:

Current office practices, procedures, and equipment, including good knowledge of computers;

 Word processing; and

 Basic legal terms.

             Skilled in:

 Personal computer use.

             Ability to:

Communicate effectively in writing or orally with co-workers, supervisors and the general public in person or over a telephone;

Exercise good judgment;

Understand and follow complex oral and written instructions and work procedures;

Operate standard office equipment including but not limited to, personal computer, fax and copy machines, telephone and printers.

ENVIRONMENTAL ELEMENTS:

Work in this classification may be performed in an extremely busy and highly stressful environment, involving interaction with all elements of society. Such interaction may involve citizens who may be irrational and highly agitated.

WORKING CONDITIONS:

May be required to work outside normal business hours including weekends, evenings and holidays.

EQUIPMENT USED: Standard office equipment including, but not limited to, personal computer, fax and copy machines, telephone and printers.
